Privacy Policy

Who we are

This website is the public face of The Oak Project, a research programme on climate-resilient oak ecosystems hosted by Linnaeus University in partnership with Lund University, the Swedish University of Agricultural Sciences (SLU), and Linköping University. Our website address is https://quercusproject.com.

What data we collect

We collect the minimum information needed to run the site:

  • Server access logs. Like any web server, we log the IP address, request URL, browser user agent, and timestamp of each visit. These logs help us diagnose technical issues and detect abuse. They are retained for up to 90 days and then deleted.
  • Account information. If you have a user account on this site (typically researchers and editors), we store the name, email address, and any profile fields you fill in. We do not create accounts for visitors.
  • Contact form submissions. If you write to us via a contact form, we receive the information you provided plus the timestamp and your IP address. These messages are kept only as long as needed to handle the enquiry.

Cookies

We use a small number of cookies, none of them for advertising:

  • Session cookie — set when you log in, removed when you log out or close the browser.
  • Cookie-consent preference — remembers your choices about the categories below, so we don't ask you on every page.
  • Analytics (only if you opt in) — anonymised page-view counts that help us understand which research areas are most read. We do not share this data with third parties.

You can change your cookie choices at any time via the cookie banner at the bottom of the page.

Embedded content from other websites

Some pages embed content from other websites — typically academic publications hosted at their publishers' sites, or research videos. Embedded content from third parties behaves as if you had visited the original website, and those sites have their own privacy policies. We do not control what data they collect.

Who we share your data with

We do not sell or share your data with advertisers, data brokers, or unrelated third parties. The site is administered jointly by staff at the partner universities listed above; access is limited to that group.

We may share data when required by law (for example, a court order) or to investigate abuse of the site (for example, account hijacking).

How long we keep your data

Server logs: up to 90 days. Account data: while your account is active, plus a short retention window after deletion as required by university record-keeping policy. Contact-form messages: as long as needed to handle the enquiry, then deleted.

Your rights

You have the right to:

  • request a copy of the personal data we hold about you;
  • ask us to correct inaccurate data;
  • ask us to erase your data (subject to the retention rules above);
  • object to processing or restrict it;
  • lodge a complaint with the Swedish Authority for Privacy Protection (IMY) if you think we have handled your data unlawfully.
